Terms of Service

These terms apply when you use Quick Invoice, an invoicing service operated in New Zealand by Jason Peters (JP), a sole trader trading as Quick Invoice. By using the service, you agree to use it lawfully and to provide accurate information.

Your account and records

Keep your sign-in account secure. Business owners are responsible for granting appropriate staff roles and removing access when it is no longer needed. Each staff member must use their own account. You are responsible for the customer information and invoice content you enter, the accuracy of amounts and tax treatment, and deciding when to finalise or send a document. Do not upload information you are not authorised to handle. Export or retain copies of important business records for your own recordkeeping.

What the service does

Quick Invoice helps create and manage invoices, quotes, estimates, stock and related records. Tax support differs by country and uses one tax rate per invoice. Accounting exports are manual. An optional, configured Xero connection can send accounting drafts; Quick Invoice does not automatically file returns or pay or transfer tax money. Tax and GST figures are estimates based on your records and settings. Quick Invoice does not file tax returns or pay tax on your behalf. Calculations and summaries are not accounting, tax or legal advice. Check documents and reports before relying on or sending them. Availability may be interrupted for maintenance or technical issues.

Diagnostic guidance and feedback

Diagnostic investigations and trade checklists help record and organise work. Common checks are not ranked vehicle-specific causes, technical specifications, professional certification or a guarantee of a repair. Verify imported or AI-assisted information against the applicable manufacturer procedure and your measurements. Safety-critical and regulated work requires appropriate competence and authorisation. Obtain customer approval before additional work. Feedback responses and completion updates are shown in the app; submitting a request does not commit us to a release date or implementation. The paid research options screen is informational only and does not create a paid subscription or charge.

Recurring invoices, reminders and backups

Recurring schedules create drafts for review. They do not finalise invoices or deduct stock. Payment reminders send only after you enable them and email sending is configured. Check the activity list for failures; email acceptance does not guarantee inbox delivery. Keep recipient details and payment records current.

Complete backups include supported records and uploaded photos and receipts. Restoring merges supported records into the same business and keeps existing records and stock quantities. Account permissions, payment credentials and connected-service credentials are not restored from a backup. Keep copies securely and test that your files can be opened. New Zealand businesses generally need to keep sales and purchase records for seven years; your recordkeeping responsibilities continue after cancellation.

Payments and subscriptions

Quick Invoice subscriptions are billed in New Zealand dollars through Stripe: Solo is NZ$19 per month, Trade is NZ$29 per month, and Complete is NZ$39 per month. Each base plan includes the business owner. Quick Invoice is GST registered from 7 October 2026, GST number 114 149 063. Advertised subscription prices and extra-person fees include New Zealand GST. The total and any applicable tax will be shown before you confirm a payment.

Subscriptions automatically renew monthly until cancelled. Each business can receive one 7-day free trial on each plan, with card details required. Unless cancelled before the trial ends, the first monthly payment is charged when the trial ends and monthly renewals continue. Returning to a plan whose trial has already been used does not give another free trial; the first payment is due when resubscribing. Adding or removing Complete users does not restart or extend a trial. Your renewal date and payment details are available in Billing. The business owner is responsible for subscription payments and keeping the payment method current.

Complete extra people

Complete can include up to 5 extra people at NZ$10 per person per month, in addition to the owner: a maximum of 6 people in one business. Each person uses their own sign-in account and shares that business’s records according to their assigned role. You pay for the number of extra places purchased, including unused places. Extra places are not available on Solo or Trade.

The owner manages extra places in Quick Invoice Billing. During a free trial, changing places keeps the same trial end date and updates the monthly amount payable after it. After the trial, adding places partway through a billing month creates a prorated charge; new paid places become available after payment succeeds. Reducing places creates a prorated credit towards billing. Remove enough staff and outstanding invitations before reducing capacity. A plan change may also require reducing extra places and removing staff first.

Changing or cancelling your subscription

Use Billing to open Stripe’s customer portal to manage your payment details and available subscription options. Review the amount, any credit and the effective date before confirming a change or cancellation. If you cannot access the portal or an option you need is unavailable, contact Jason Peters (JP) at 027 666 6969 or email admin@quickinvoice.nz for help.

Cancelling a subscription does not itself delete your business records or automatically refund earlier payments. If a payment fails, or paid access ends, features that require a paid plan may become unavailable. Keep exported copies of important records; cancellation is not a replacement for your own recordkeeping.

Refunds and billing problems

For a duplicate or incorrect charge, a refund request or a service problem, contact Jason Peters (JP) at 027 666 6969 or email admin@quickinvoice.nz with the payment date and a description of the issue. Do not send card numbers or passwords. We will review the circumstances and any applicable New Zealand legal rights, then explain the outcome and any refund or credit. These terms do not exclude or limit mandatory rights or remedies that apply under New Zealand law.

Acceptable use

Do not use the service to create fraudulent documents, access another person’s account or records, interfere with the service, or break applicable law. We may restrict access where necessary to protect users or the service.

Changes and contact

We may update these terms as the service changes. The updated date will appear here. For questions about Quick Invoice, contact Jason Peters (JP) by text or phone at 027 666 6969 or email admin@quickinvoice.nz.

Optional address suggestions

When Google Maps address suggestions are connected, the address text you type is sent to Google to find matching NZ and Australian addresses. Choosing a result fills the address field; you can review and edit it before saving. Google Maps results are not a guarantee of property access or address accuracy. Google’s Terms of Service and Privacy Policy apply. Manual entry remains available.
